This includes ensuring the completeness, accuracy, and consistency of information across all intake systems. A key part of your role will involve meticulously reviewing incoming forms and documentation, identifying any errors or missing information, and creating clean, accurate base records before any downstream processing begins. You will conduct detailed quality assurance checks against specific provider requirements, verifying patient demographics, insurance details, and crucial medical histories. Maintaining the hygiene of Electronic Health Record (EHR) systems and databases through diligent cleanup and deduplication efforts will also be a core function. Furthermore, you will actively monitor workflows to proactively identify any discrepancies or potential risks, ensuring data integrity at every step.
  • • **Provider Research & Coordination (25%):** This aspect of the role involves identifying all healthcare providers and facilities associated with a patient's care. Verifying provider credentials, network participation status, and submission requirements will be essential. You will meticulously document and maintain accurate provider records within internal systems. Efficient navigation of provider portals and specialized healthcare databases will be a critical skill. You will also engage in direct coordination with providers to resolve any missing or unclear information, ensuring a seamless flow of data. Tracking non-standard provider requirements and escalating issues when necessary will be part of your responsibilities.
  • • **Intake Processing & Request Management (20%):** You will process patient intake requests and Release of Information (ROI) forms with precision and efficiency. Building complete, submission-ready documentation packets will be a key deliverable. Requests will be assigned based on workload, priority, and specific specialization requirements. You will ensure clean handoffs to downstream teams, providing complete context and necessary information. Tracking intake requests through defined stages and Service Level Agreements (SLAs) will be crucial for maintaining operational timelines. Managing scheduling data and consistently updating patient and provider records will also fall under your purview. You must be adept at handling volume spikes and priority shifts with both accuracy and urgency.
  • • **Compliance & Process Adherence (10%):** Maintaining strict adherence to HIPAA regulations and data confidentiality standards in all workflows is paramount. You will follow Standard Operating Procedures (SOPs) for data handling, documentation, and communication meticulously. Identifying potential compliance risks and escalating them appropriately will be a critical function. You will ensure that all documentation and intake records are audit-ready at all times. Conducting final compliance checks before any submission is a non-negotiable part of the process. Staying current on evolving healthcare regulations that impact intake operations will be essential for maintaining compliance.
  • • **Communication & Escalation (10%):** Clearly communicating the status of intake processes to patients, providers, and internal teams is vital.
