- • As a People Operations Coordinator at Ashby Inc., you will be an integral part of our dynamic People Operations team, dedicated to fostering a productive, inclusive, and exceptional employee experience. This role is pivotal in ensuring the smooth day-to-day execution of critical HR operations and administrative tasks, directly contributing to the growth and success of our company. You will be instrumental in shaping and maintaining the systems and processes that support our most valuable asset: our people.
- • Your primary responsibility will involve providing comprehensive operational support, meticulously maintaining accurate employee data and files across all relevant systems. This includes ensuring strict adherence to all state and federal labor laws, safeguarding the company against compliance issues and maintaining the integrity of our employee records. This data accuracy is foundational to all People Operations functions, from payroll to benefits administration and beyond.
- • You will offer essential administrative support for a wide array of Ashby’s people processes. This encompasses, but is not limited to, the seamless onboarding of new hires, the efficient administration of employee benefits, and the support of performance management cycles. Your attention to detail and proactive approach will ensure that every employee, from their first day, feels supported and integrated into the Ashby culture.
- • A significant aspect of your role will be the planning and coordination of Ashby’s culture events. This includes both virtual and in-person gatherings designed to foster connection, collaboration, and a strong sense of community among our distributed team. From organizing team-building activities to coordinating company-wide celebrations, you will play a key role in bringing our operating principles to life through engaging experiences.
- • You will be tasked with documenting people process changes as needed. This involves creating clear, concise, and accessible documentation that supports the evolution of our HR practices. This ensures consistency, facilitates training, and supports scalability as Ashby continues to grow.
- • Maintaining a high level of confidentiality and discretion is paramount in this role. You will be handling sensitive employee information on a daily basis, and it is crucial that this information is managed with the utmost care, integrity, and in compliance with all privacy regulations.
- • A key initiative will be actively involved in building out and refining people process workflows within the Ashby platform itself. This hands-on work will directly contribute to improving our business effectiveness, streamlining operations, and enhancing the overall employee experience by leveraging the tools we use.
- • You will be expected to investigate problems thoroughly to determine their root causes and then define and implement robust, sustainable solutions. This problem-solving capability is vital for continuous improvement and for proactively addressing challenges within the People Operations domain.
- • Exceptional attention to detail is a non-negotiable requirement, particularly when it comes to ensuring the quality and accuracy of employee data. This meticulousness will prevent errors and ensure the reliability of our HR systems.
- • You will need to work independently, demonstrating a strong ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment. Autonomy and self-management are key to success in this role.
- • Excellent communication skills, both verbal and written, are essential for interacting with employees, collaborating with internal teams, and documenting processes clearly.
- • A team-oriented mindset and a collaborative approach to problem-solving are highly valued. You will be working closely with the People Operations team and other departments to achieve shared goals.
- • You will be comfortable and adept at handling sensitive and confidential information compliantly, understanding the importance of data privacy and security.
- • Experience with HRIS systems such as Gusto, ADP, or Deel will be highly beneficial, as you will be working with these types of platforms to manage employee data and processes.
- • This role is ideal for someone who thrives in a proactive, evolving environment, enjoys contributing to process improvements, and is passionate about creating a positive and supportive workplace culture. You will be a key contributor to Ashby's mission of scaling thoughtfully and raising the bar for employee support and investment.
