📋 Description

• As a People Operations Specialist at Swarmer AI Inc., you will play a critical role in supporting the company’s rapid growth by designing, improving, and owning core HR processes in Poland, directly contributing to operational efficiency and employee experience in a mission-driven defense technology startup.
• You will ensure HR operations are accurate, compliant, and scalable, working closely with the HR Director to build a strong People function that supports Swarmer’s goal of scaling autonomous drone software for NATO-aligned nations.
• Day to day, you will: co-create and roll out HR policies and process improvements tailored to the Polish team; own end-to-end localized onboarding and offboarding including contracts, documentation, system access, and checklists; administer local compensation and benefits enrollment; maintain and improve employee data accuracy in HiBob HRIS; ensure compliance with Polish labor laws and internal HR documentation; serve as the first point of contact for employee HR inquiries; and proactively identify opportunities to increase efficiency and structure within People Operations.
• You will join a fast-moving, purpose-driven team at Swarmer AI Inc., a defense technology company whose autonomous drone software has been battle-tested in over 100,000 combat missions in Ukraine and recently secured a $15M Series A to scale operations for NATO allies.
• The HR function at Swarmer is led by an experienced director with 15 years in IT HR and a focus on veterans’ reintegration, offering you mentorship grounded in values, systematic thinking, and leadership that serves teams — providing a rare opportunity to learn from a leader who believes HR enables autonomy, not substitutes it.
• In this role, you will gain deep ownership of HR processes in a growing international startup, develop expertise in local compliance and HRIS management, and position yourself to evolve into broader HR Business Partner or operational leadership roles as the Poland function scales.
• You will build structured, repeatable processes while enjoying the autonomy to suggest improvements, work independently, and collaborate effectively — ideal for someone who values clarity, ownership, and making tangible impact in a high-stakes, fast-executing environment.

🎯 Requirements

• 2–4 years of experience in HR operations, HR coordination, generalist, or a similar role
• Strong organizational skills and attention to detail
• Experience working with HR systems (HiBob is a plus)
• Proactive and solution-oriented mindset with motivation to grow in People Operations
• Ability to work independently while collaborating effectively and knowing when to take ownership or align with others
