  • • We are seeking a highly organized, proactive, and relationship-driven Placement Specialist to join our dynamic team. This pivotal role is instrumental in ensuring a seamless and positive experience for both our newly onboarded caregivers and our valued facility partners. You will be the central point of contact, orchestrating the critical processes of caregiver onboarding, meticulous scheduling coordination, diligent compliance tracking, and fostering robust facility relationships. Your success in this role will directly contribute to the efficiency and effectiveness of our healthcare staffing operations, ensuring we consistently meet the needs of our clients and provide exceptional support to our caregivers.
  • • **New Hire Onboarding:** Your primary responsibility will be to guide new caregivers through their onboarding journey with exceptional care and attention. This begins with a warm welcome and a clear explanation of all credentialing requirements. You will meticulously review caregiver files, proactively communicate any missing documentation, and diligently follow up daily (or according to an agreed-upon timeline) until all necessary documents are submitted and verified. Ensuring the completeness, legibility, currency, and correct system upload of all documents is paramount. You will coordinate orientation sessions, schedule initial assignments, and clearly communicate all relevant details to caregivers via phone and email. Timely submission of clearance requests is crucial to prevent any onboarding delays. You will also maintain consistent and transparent communication with facility compliance representatives, ensuring they are informed of incoming staff. Furthermore, you will play a key role in ensuring a smooth payroll setup by accurately entering orientation shifts and schedules, confirming that contracts and rates are properly documented, verifying tax forms, direct deposit information, and all other required payroll documents, and ensuring timesheets are submitted for the first payment cycle.
  • • **Active Caregiver Management:** Beyond onboarding, you will be dedicated to nurturing and retaining our active caregiver pool. This involves conducting weekly retention and courtesy follow-ups to build rapport and address any immediate needs or concerns. You will reinforce adherence to schedules and contractual commitments, acting as a supportive liaison. By closely monitoring active assignments, you will identify any changes in service hours and proactively address performance or attendance concerns, providing constructive feedback and support. Your ongoing support throughout assignments is vital to ensuring caregiver satisfaction and continued engagement.
  • • **Schedule Coordination:** Efficient and accurate scheduling is at the heart of our operations. You will be responsible for contacting active caregivers weekly to collect their availability and confirm their schedules. This information will then be meticulously confirmed with facility contacts to ensure alignment and accuracy. Your goal is to achieve 100% schedule entry and accuracy, minimizing any gaps or discrepancies. You will proactively seek out additional shift opportunities at assigned facilities, maximizing caregiver utilization and client satisfaction. Maintaining reminder lists for caregivers who have not yet submitted their schedules will be a key part of ensuring timely submissions.
  • • **Facility Relationship Management:** Building and maintaining strong, collaborative relationships with our facility contacts is essential. You will serve as a reliable point of contact, providing timely onboarding status updates for new hires and conducting regular monthly courtesy calls to foster goodwill and gather insights. Following up after orientations to solicit feedback on the caregiver and onboarding experience will help us continuously improve our services. You will also participate in meetings and calls as required, representing our company professionally and effectively.
  • • **Issue Resolution & Cancellations:** Inevitably, issues arise. You will review daily reports to identify any cancellations or operational issues and follow up promptly to understand the situation and implement solutions. You will counsel caregivers regarding cancellations and attendance concerns, providing guidance and support. When necessary, you will issue official counseling documentation. You will also assist in the critical task of finding replacement staff when needed to ensure continuity of care. Adhering strictly to termination policies and procedures will be a key aspect of this responsibility.
  • • **Compliance Management:** Maintaining compliance is non-negotiable in the healthcare industry. You will diligently monitor expiring caregiver documents and send timely reminders to ensure continuous compliance. You will address compliance issues proactively during scheduling conversations, educating caregivers on requirements. Issuing verbal and written notices for noncompliance will be necessary when required. You will also be responsible for notifying facilities immediately if a caregiver is not cleared to work due to compliance issues, ensuring the safety and integrity of our placements.

  • • Previous experience in healthcare staffing, scheduling, onboarding, or workforce coordination is strongly preferred.
  • • Exceptional communication skills, both written and verbal, with a proven ability to build rapport and convey information clearly via phone and email.
  • • Excellent organizational and time-management skills, with a keen eye for detail and the ability to manage multiple priorities simultaneously.
  • • Demonstrated ability to manage relationships with a significant number of caregivers and facility contacts concurrently in a fast-paced, deadline-driven environment.
  • • A proactive, problem-solving mindset with a strong sense of initiative and the ability to work independently.
