- • As a Processing Admin, you will play a pivotal role within our central operations team, reporting directly to the Processing Supervisor at our Warrensville Heights, OH headquarters. This is a critical function that ensures the smooth and efficient transition of newly executed sales contracts from the sales floor to our operational and fulfillment departments.
- • Your primary responsibility will be the accurate and timely processing of all newly executed sales contracts. This involves meticulous attention to detail to ensure that all information captured is correct, complete, and aligns with the terms agreed upon during the sales process. You will be the gatekeeper of crucial data, ensuring its integrity from the outset.
- • This role demands exceptional time management skills. You will be expected to handle a significant volume of contracts, prioritizing tasks effectively to meet strict deadlines. The ability to multitask and maintain a high level of organization in a dynamic, fast-paced setting is paramount to success.
- • Strong data entry skills are essential. You will be inputting detailed information into our proprietary systems, requiring speed, accuracy, and a keen eye for identifying discrepancies or potential errors. Proficiency in navigating software and a commitment to maintaining data integrity will be key.
- • You will be instrumental in nurturing and maintaining effective relationships with both internal and external customers. This includes collaborating closely with sales teams to clarify contract details, liaising with our fulfillment and installation departments to ensure seamless handoffs, and potentially interacting with customers to resolve any initial contract-related queries.
- • The Processing Admin role operates within a highly team-oriented environment. You will be an integral part of a dedicated processing team, working collaboratively to achieve departmental goals. - • Key responsibilities include, but are not limited to:
- • Reviewing sales contracts for completeness, accuracy, and compliance with company policies and procedures.
- • Accurately entering all contract data into the company's CRM and order management systems.
- • Verifying customer information, product specifications, pricing, and financing details.
- • Identifying and resolving any discrepancies or missing information on contracts, escalating issues as needed.
- • Communicating effectively with sales representatives to obtain necessary documentation or clarifications.
- • Coordinating with the finance department to ensure all payment and financing details are correctly recorded.
- • Liaising with the operations and installation teams to provide accurate order information and ensure timely scheduling.
- • Maintaining organized and up-to-date digital and physical contract files.
- • Assisting with the generation of reports related to contract processing volume, accuracy, and turnaround times.
- • Contributing to process improvement initiatives by identifying bottlenecks and suggesting solutions.
- • Adhering to all company policies and procedures, including data privacy and security protocols.
