📋 Description

  • • ICF International, Inc. is seeking a dedicated and highly organized Program Grants Coordinator to provide essential structured coordination and operational support for complex state or federally funded health initiatives. This remote role is pivotal in supporting Program Management Office (PMO)-led program execution, ensuring seamless operations through meticulous schedule maintenance, diligent action item tracking, and robust reinforcement of documentation and reporting workflows across various workstreams.
  • • As a Program Grants Coordinator, you will be instrumental in maintaining structured trackers for critical milestones, deliverables, procurement activities, subrecipient documentation, and reporting deadlines. Your role will involve organizing and meticulously maintaining contract files, grant documentation, and compliance records, ensuring that program implementation remains audit-ready and compliant with all relevant regulations.
  • • A key responsibility will be coordinating recurring meeting cadences, which includes preparing comprehensive agendas and briefing materials, accurately documenting decisions and action items, and diligently tracking follow-up actions. This coordination extends across internal teams and external partners, fostering effective communication and collaboration.
  • • You will also provide crucial support for technical assistance (TA) activities. This involves coordinating onboarding sessions for new partners or initiatives, maintaining detailed TA request logs, organizing and disseminating TA materials, and tracking all associated follow-up actions to ensure successful program adoption and support.
  • • During high-volume implementation periods, you will assist significantly with reporting preparation, documentation reconciliation, and task sequencing. Your contribution will be vital in ensuring that programs are delivered efficiently and effectively, meeting all stipulated requirements and timelines.
  • • This role demands a commitment to disciplined program governance, particularly within compliance-driven environments. Success will be measured by your strong organizational skills, unwavering attention to detail, and your proven ability to manage multiple concurrent priorities without compromising quality or timeliness.
  • • The Program Grants Coordinator will act as a central point of contact for operational and administrative aspects of grant-funded health initiatives, ensuring that all project components are aligned and progressing according to plan. This includes liaising with various stakeholders, from internal project managers and technical experts to external subrecipients and government agencies.
  • • You will be responsible for developing and refining project support processes, identifying areas for improvement, and implementing solutions to enhance efficiency and effectiveness. This proactive approach will contribute to the overall success and sustainability of the programs you support.
  • • The role requires a proactive mindset, anticipating potential challenges and developing mitigation strategies to ensure project continuity. You will be expected to stay abreast of relevant funding guidelines and compliance requirements, ensuring that all program activities adhere to these standards.
  • • By ensuring the integrity and accessibility of grant documentation and project records, you will directly contribute to ICF's mission of helping clients solve their most complex challenges and shape the future. This position offers a unique opportunity to work on impactful health initiatives and develop a deep understanding of grant management and program operations in a dynamic, remote work environment.
  • • The ability to work independently, manage time effectively, and communicate clearly and concisely, both verbally and in writing, is essential for success in this role. You will be a key player in ensuring the smooth execution of critical health programs, making a tangible difference in the communities they serve.
  • • This position offers the flexibility of a remote work arrangement, allowing you to contribute your skills and expertise from anywhere within the US. While the role is primarily remote, occasional travel may be required, up to 25%, to support program activities and stakeholder engagement.
