📋 Description

• As the operational backbone of a fast-moving product team at Ruby Labs Ltd., the Project Owner ensures seamless delivery, process integrity, and continuous optimization across health, education, and entertainment consumer products. This role is critical to maintaining execution velocity and alignment in a high-pace environment where AI-driven efficiency is not just encouraged but expected.
• Day-to-day responsibilities include owning delivery execution by ensuring every initiative has a clear owner, deadline, and definition of done; maintaining Notion task board hygiene through grooming, status accuracy, and consistent labeling; enforcing Definition of Ready standards via weekly audits and task rejection when criteria aren’t met; automating repetitive workflows using Notion AI, AI agents, and tools like Claude and Cursor to reduce manual effort in reporting and coordination; building lightweight reports on velocity and blockers for weekly leadership summaries; facilitating daily syncs and owning the full weekly cycle (planning, mid-week check-in, results review); tracking all action items from meetings with clear ownership and deadlines; bridging Product, Engineering, CRO, and Analytics teams to synchronize priorities and prevent misalignment; managing the central Notion documentation hub for templates, release logs, and process guides; and continuously identifying inefficiencies to propose and implement process improvements that make the team faster and less chaotic each sprint.

• In this role, you will develop deep expertise in AI-augmented project operations, master advanced Notion automation and agentic workflows, sharpen cross-functional leadership without direct authority, and build a track record of increasing team throughput and process reliability. You’ll gain visibility into product strategy execution while shaping how high-velocity teams operate—positioning yourself as a critical enabler of scalable, efficient product delivery in a fast-growing tech environment.

🎯 Requirements

• Proven experience as a Project Manager, Project Owner, or Operations Lead in a fast-moving product team.
• Deep, practical knowledge of Notion — including task boards, databases, automations, and Notion AI — as the primary tool for execution.
• Strong hands-on experience with AI tools such as Claude, Claude Code, Cursor, Notion AI, and AI agents, used daily to increase personal and team output.
• Experience building and enforcing structured delivery processes like Definition of Ready, sprint cadences, and reporting standards.
• Exceptional attention to detail and a proactive problem-solver mindset — you identify and fix chaos without waiting for instructions.
• Strong written communication skills: clear, concise, and fluff-free.
• Comfort managing multiple workstreams simultaneously in a high-pace, high-pressure environment.
• Experience working with cross-functional teams (product, engineering, growth, analytics, marketing).
• Fluent Russian language proficiency for clear and professional communication.
