If so, Headspace Health is seeking a dynamic and experienced Proposal Manager to join our innovative team.
- • As a Proposal Manager at Headspace Health, you will be a pivotal force in our growth strategy, taking ownership of the end-to-end process for responding to Requests for Proposals (RFPs) and Requests for Information (RFIs). This role is not just about filling out forms; it's about crafting compelling arguments, showcasing our unique value proposition, and ultimately, winning new business.
- • You will serve as the crucial bridge connecting our ambitious sales objectives with our cutting-edge technical capabilities and comprehensive service offerings. Your ability to understand the nuances of both sales requirements and product functionalities will be paramount in developing proposals that resonate with prospective clients and clearly articulate how Headspace Health can meet their unique needs.
- • A significant aspect of your role will involve owning and curating sections of our proposal content database. This means you will be responsible for ensuring our messaging is not only consistent but also sharp, up-to-date, and perfectly aligned with our rapidly evolving product suite and strategic direction. You will be the guardian of our proposal narrative, ensuring it reflects the latest innovations and market positioning.
- • This is a critical position that directly impacts our ability to achieve ambitious revenue targets. You will collaborate closely with a broad and diverse cross-functional team, including Sales, Product Management, Compliance, Legal, Marketing, and Senior Leadership. Your ability to build strong relationships, facilitate communication, and synthesize information from various stakeholders will be key to your success.
- • Your responsibilities will extend to managing multiple proposal projects simultaneously, adhering to strict deadlines, and ensuring the highest quality of output. This includes conducting thorough research to understand client needs, developing tailored proposal strategies, writing clear and persuasive content, and coordinating the review and approval process.
- • You will be instrumental in identifying opportunities to improve our proposal processes, tools, and content. By analyzing past proposals and feedback, you will contribute to best practices and drive efficiency, making our response process more effective and scalable.
- • The ideal candidate will possess a deep understanding of the health and wellness industry, or the ability to quickly acquire it, enabling them to effectively communicate the value of Headspace Health's solutions in a competitive market.
- • You will be expected to manage the entire proposal lifecycle, from initial qualification and assignment through to final submission and post-submission follow-up. This includes developing project plans, assigning tasks to contributors, tracking progress, and ensuring all components are integrated seamlessly.
- • This role requires exceptional project management skills, meticulous attention to detail, and a proactive approach to problem-solving. You will be comfortable navigating complex information, managing competing priorities, and driving consensus among diverse teams.

🎯 Requirements
- • Proven experience (3+ years) in proposal management, specifically responding to RFPs/RFIs, preferably within the B2B SaaS, healthcare, or benefits administration industries.
- • Exceptional writing, editing, and proofreading skills with a demonstrated ability to craft clear, concise, and persuasive content tailored to specific audiences.
- • Strong project management skills, with the ability to manage multiple complex projects simultaneously, prioritize tasks, and meet tight deadlines in a fast-paced environment.
- • Excellent interpersonal and communication skills, with the ability to effectively collaborate with and influence cross-functional teams (Sales, Product, Legal, Compliance, etc.) and senior leadership.
- • Proficiency in proposal management software and tools, as well as Microsoft Office Suite (Word, Excel, PowerPoint).
