- • As a key member of the team, you will be instrumental in managing Montrose's extensive real estate portfolio, ensuring seamless operations across numerous locations. Your responsibilities will encompass a broad spectrum of lease administration and facility coordination tasks, directly impacting the company's operational efficiency and strategic growth.
- • A core function of this role involves meticulously maintaining and updating lease administration and portfolio data. This includes organizing digital lease files, abstracting critical information, and ensuring all supporting documents are readily accessible. Your diligence in this area will form the backbone of informed decision-making regarding the company's real estate assets.
- • You will be responsible for proactively tracking all critical lease dates and obligations. This includes renewal windows, notice periods, rent changes, and option exercises. By providing timely reminders and status updates, you will prevent missed deadlines and ensure favorable terms are secured, safeguarding the company's interests.
- • This position requires active support for lease renewals, amendments, relocations, openings, and closures. You will coordinate effectively with a diverse range of internal stakeholders, including legal, finance, and operations teams, as well as external partners such as brokers, landlords, and property managers, to facilitate smooth transactions.
- • You will play a crucial role in coordinating proposals, work orders, and vendor services specifically related to lease transactions. This involves tracking all deliverables through to successful completion, ensuring projects are managed efficiently and within scope.
- • A significant aspect of the role is supporting the entire workflow for rent, Common Area Maintenance (CAM), utilities, and vendor invoices. This includes validating invoices against lease terms, ensuring accuracy, and routing them for timely approval and payment, thereby maintaining strong vendor relationships and financial control.
- • You will be tasked with preparing comprehensive recurring and ad hoc reports. These reports will cover portfolio status, upcoming actions, and spend summaries, providing valuable insights to management. Additionally, you will support audit requests and provide necessary documentation, ensuring compliance and transparency.
- • The role also involves supporting changes to business licenses and tax documentation, particularly as they relate to office relocations and closures, ensuring regulatory compliance across all operational sites.
- • You will serve as an internal point of contact and a liaison with property management for facility-related inquiries. This includes coordinating repairs and maintenance, ensuring that all office spaces are functional, safe, and conducive to productivity.
- • A key contribution will be your involvement in process improvement initiatives. You are encouraged to identify inefficiencies, suggest innovative ideas, and contribute to the development of more streamlined and effective real estate management processes.
