- • Schedule and coordinate phone, Google Meet, and onsite interviews across multiple teams and global time zones to ensure seamless candidate experiences
- • Serve as the primary point of contact for candidates, delivering timely, warm, and professional communication throughout the recruitment lifecycle
- • Maintain 100% accuracy of candidate data and pipeline status within the Ashby ATS, ensuring all records are up-to-date and audit-ready
- • Partner with recruiters and hiring managers to prepare interview teams with logistics, calendars, candidate materials, and background briefs
- • Support end-to-end execution of onsite recruiting events, including room bookings, equipment setup, catering coordination, and candidate check-in
- • Proactively identify inefficiencies in the recruiting workflow and propose actionable improvements to enhance candidate experience and team productivity
- • Manage complex scheduling conflicts across multiple calendars, tools, and stakeholder availability with precision and minimal disruption
- • Ensure all interview feedback is collected and logged in Ashby in a timely manner to support hiring decisions
- • Coordinate with HR and operations teams to prepare offer letters, onboarding materials, and pre-employment documentation for new hires
- • Act as the operational backbone of the Talent team, enabling recruiters and hiring managers to focus on evaluation and closing top talent
- • Maintain confidentiality and professionalism when handling sensitive candidate and company information
- • Adapt quickly to shifting priorities in a fast-paced, high-growth startup environment without compromising quality or candidate experience
- • Collaborate cross-functionally with engineering, product, and leadership teams to align on hiring needs and timeline expectations
- • Track and report on key recruiting metrics such as time-to-fill, candidate satisfaction, and interview conversion rates using Ashby data
- • Ensure compliance with internal hiring policies and external employment regulations during all stages of the recruitment process
🎯 Requirements
- • 1+ years of professional experience in a recruiting support role (internships count)
- • Experience with an ATS; Ashby is a plus
- • Excellent organizational and time-management skills; able to juggle competing priorities
- • Strong written and verbal communication skills; warm and professional candidate presence
- • Comfort with scheduling across multiple calendars, tools, and time zones
- • Thrives in a fast-paced, high-growth startup environment
