  • • As the Recruiting Operations Specialist, you will be the linchpin of our recruiting engine, ensuring a seamless, high-touch candidate experience from the initial outreach to the final offer. You will own the critical scheduling and logistical aspects of our hiring process, acting as the operational backbone that enables our recruiting team to operate at peak efficiency.
  • • This role goes beyond traditional administrative support. We are seeking a high-velocity operator who possesses the foresight to anticipate needs, the initiative to proactively remove obstacles, and the drive to continuously improve our systems and processes.   • • Your responsibilities will encompass a wide range of critical functions designed to optimize the recruiting workflow:
  • • Providing "white-glove" service to candidates by managing all communication, including sending personalized pre-interview information and conducting targeted LinkedIn outreach to ensure every candidate feels valued and informed.
  • • Overseeing the entire lifecycle of take-home assignments, from distribution and collection to thorough review and feedback, ensuring a fair and efficient assessment process.
  • • Maintaining meticulous candidate profiles within our Ashby Applicant Tracking System (ATS), ensuring all data is accurate, up-to-date, and readily accessible to the relevant stakeholders.
  • • Guaranteeing that all necessary candidate documents are securely stored and easily accessible to hiring managers, recruiters, and interviewers, facilitating informed decision-making.
  • • Expertly managing recruiter calendars with unwavering precision, adeptly rearranging interviews on the fly to accommodate urgent needs, prioritize high-impact candidates, and maximize daily interview capacity.
  • • Serving as the primary point of contact for leadership's urgent recruiting needs, which may include tasks such as updating compensation bands, rapidly posting new job requisitions, or coordinating the essential training and shadowing for new interviewers.
  • • Proactively identifying and implementing process improvements to streamline workflows, reduce bottlenecks, and enhance the overall speed and effectiveness of the recruiting team.
  • • Collaborating closely with the recruiting team to understand their challenges and develop innovative solutions that support their goals.
  • • Ensuring a consistent and positive candidate experience by adhering to best practices in communication, scheduling, and follow-up.
  • • Contributing to the development and maintenance of recruiting documentation and playbooks.
  • • Assisting with the onboarding process for new hires by ensuring all necessary pre-employment steps are completed efficiently.
  • • Generating reports on recruiting metrics to help identify areas for improvement and track progress.
