📋 Description

• The Recruitment Coordinator – APJ provides essential administrative and operational support to Shield AI’s Talent Acquisition function, ensuring seamless interview scheduling and candidate travel coordination across the Asia-Pacific-Japan region and beyond.
• Day-to-day responsibilities include scheduling and coordinating interviews across multiple time zones, managing complex calendars for candidates and hiring teams, arranging virtual and in-person interviews, preparing interview materials, resolving scheduling conflicts, and maintaining accurate records in TA systems.
• The role involves arranging domestic and international candidate travel—flights, accommodations, ground transportation—while ensuring compliance with company travel policies, managing itineraries, handling changes or disruptions, and supporting visa documentation where needed.
• As a primary point of contact for candidates, the coordinator delivers timely, professional communication across time zones to ensure a consistent, organized, and positive interview experience in a high-growth, fast-paced startup environment.
• The position supports recruiting operations by maintaining accurate data entry, assisting with hiring metrics reporting, improving scheduling workflows, and collaborating with recruiting, PX, finance, and hiring teams to scale global hiring initiatives.

🎯 Requirements

• Bachelor’s degree preferred or equivalent professional experience
• 3+ years of experience in recruiting coordination, HR coordination, or high-volume scheduling
• Experience coordinating interviews across APJ time zones
• Experience booking international travel preferred
• Strong organizational and time management skills with high attention to detail and accuracy
• Proficiency with Applicant Tracking Systems (e.g., Greenhouse, Ashby, Lever, Workday, Modern Loop) and Microsoft Office
