This fully remote, full-time independent contractor role is designed for a highly organized and execution-focused individual who thrives in a fast-paced environment and takes pride in maintaining operational excellence. You will be instrumental in supporting the recruitment function by guaranteeing accuracy in all logistical aspects, optimizing scheduling efficiency, and cultivating an exceptional candidate experience throughout every stage of the hiring journey. Your primary focus will be on the meticulous execution of interview coordination, maintaining the integrity of our Applicant Tracking System (ATS), diligently tracking candidate pipelines, and developing clear process documentation. This allows our recruiters to dedicate their valuable time to strategic sourcing and making impactful placements.
  • • You will serve as the indispensable operational backbone of our recruiting efforts. This involves expertly managing the intricate logistics of the hiring process, ensuring the accuracy and completeness of candidate data, and overseeing all candidate communications. You will be managing high-volume pipelines, making this role ideal for detail-oriented operators who excel in structured workflows and are driven by the satisfaction of keeping recruitment operations running without a hitch. Your contributions will directly enhance hiring speed, elevate the candidate experience, and significantly boost recruiter productivity. By upholding clean systems, executing proactive scheduling, and maintaining precise data, you will effectively reduce friction points within the hiring process and provide leadership with clear, actionable visibility into the health and progression of our candidate pipelines. Your unwavering operational discipline will be the cornerstone that enables our recruiting teams to scale effectively without ever compromising on quality or professionalism.
  • • **Recruitment Coordination & Scheduling (30%):** Your core responsibility will involve the precise scheduling of interviews, often across multiple time zones and involving numerous stakeholders. This includes the creation of Zoom meetings, ensuring all calendar invites contain the correct links and necessary preparatory materials. You will be adept at coordinating the availability of candidates, interviewers, and recruiters, managing a high volume of scheduling requests for multiple open roles simultaneously. Professionalism will be key in handling reschedules, cancellations, and last-minute changes, always maintaining clear and timely communication. You will send out confirmations, reminders, and follow-up messages to all participants, ensuring everyone is informed and prepared. Maintaining meticulously organized recruiting calendars with accurate details will be paramount to the smooth functioning of the hiring process.
  • • **Candidate Communication & Pipeline Management (25%):** You will be the primary point of contact for all scheduling-related candidate communications, primarily conducted via email. This involves sending out interview confirmations, introductions to the hiring team, and clear instructions regarding next steps. You will diligently track each candidate's progression through the various recruitment stages, ensuring timely follow-ups to prevent any candidate drop-off. Your commitment to providing a consistent and professional candidate experience at every touchpoint is crucial. You will proactively flag any stalled candidates or potential pipeline blockers to the relevant parties. Additionally, you will support post-interview coordination, including the efficient collection of feedback.
  • • **Data Management & Reporting (20%):** Maintaining a high level of data integrity within our Applicant Tracking System (ATS) such as Workable, Greenhouse, Lever, or similar platforms is a critical aspect of this role. This includes ensuring accurate candidate tagging, consistent stage progression updates, and thorough note-taking. You will be responsible for consistently updating records, documentation, and pipeline statuses. A key part of your role will be building and maintaining recruitment trackers and dashboards, and generating essential weekly and monthly reports on pipeline and scheduling metrics. You will also support ad-hoc reporting requests from leadership and recruiting teams, and champion the enforcement of consistent data entry standards across the entire team.
  • • **Process Documentation & Improvement (15%):** You will be responsible for creating and maintaining organized candidate folders and all essential interview documentation. This includes preparing interview packets, scorecards, and role-specific materials, ensuring that interviewers receive all necessary materials well in advance of their scheduled interviews. Documenting recruiting workflows, Standard Operating Procedures (SOPs), and best practices will be a key contribution. You will be encouraged to identify recurring operational bottlenecks and proactively propose effective solutions. Supporting process improvements and light automation initiatives will also be part of your remit, alongside maintaining organized documentation and template libraries.
  • • **Sourcing & Recruiting Support (10%):** While your primary focus is coordination, you will also provide valuable support to our sourcing and recruiting efforts. This includes assisting with top-of-funnel sourcing activities and talent mapping. You will help build candidate databases and conduct initial screenings or pre-qualification interviews when necessary. During high-volume hiring periods or critical recruitment drives, you will offer support to the recruiting team. Maintaining organized talent pools for future hiring needs will also be an important aspect of your role, ensuring we have a strong pipeline of potential candidates for upcoming opportunities.
