- • Schedule patient visits, diagnostic testing, procedures, and surgeries in alignment with established referral protocols and timelines.
- • Ensure accurate and timely completion of referral authorizations by verifying insurance eligibility, demographic data, and policy requirements.
- • Maintain comprehensive knowledge of clinical information systems, including Epic, for patient scheduling, registration, and reporting functions.
- • Obtain, verify, and enter all necessary insurance and patient information into designated systems with 100% accuracy to meet audit standards.
- • Provide exceptional customer service to patients, visitors, physicians, clinical staff, and external agencies through professional, courteous, and confidential interactions.
- • Serve as a resource for referral-related questions and guidance to internal teams and external partners utilizing the Teams platform for communication and collaboration.
- • Participate in required referral coordinator meetings and complete all assigned training, including basic and advanced Epic classes.
- • Achieve and maintain a score of at least 90% on two consecutive referral audits to meet performance expectations.
- • Engage actively in the referral coordinator Teams platform by posing questions, checking messages, participating in discussions, providing recommendations, and completing assignments.
- • Support administrative functions including data collection, medical record review, report completion, and special department projects as assigned.
- • Provide directional assistance to patients and visitors regarding facility locations and office access.
- • Operate standard office equipment and manage shifting priorities in a dynamic, interrupt-driven environment.
- • Handle sensitive and difficult situations with tact, diplomacy, and adherence to confidentiality policies.
- • Maintain direct contact with patients, visitors, hospital staff, vendors, providers, and the general public across various clinical and administrative settings.
- • Contribute to continuous improvement in referral processes through ongoing education, training, and feedback participation.
- • Adhere to all customer service policies and standards set by management in every patient and staff interaction.
- • Function as a key component of the centralized referral organization structure with responsibilities focused exclusively on referrals and authorizations.
