This full-time, remote position is crucial to the seamless operation of our home healthcare agency, ensuring that clients receive the highest quality of care while our dedicated caregivers have consistent and fulfilling work.
  • • As a Scheduling Coordinator, you will be at the forefront of managing the intricate web of caregiver schedules, client needs, and operational demands. Your primary responsibility will be to build, manage, and dynamically adjust caregiver schedules, meticulously matching caregiver skills, certifications, and preferences with client requirements and location. This role demands a proactive approach, anticipating needs and preempting potential issues before they impact service delivery.
  • • Key to your success will be your ability to maintain proactive and clear communication. You will be responsible for informing both caregivers and clients about schedule updates, changes, and confirmations, ensuring everyone is informed and prepared. This includes responding with speed and efficiency to unexpected call-offs, emergencies, and last-minute scheduling gaps, minimizing disruption and maintaining the continuity of care. Your ability to think on your feet and implement swift, effective solutions will be paramount.
  • • Accuracy and data integrity are non-negotiable. You will diligently maintain precise scheduling data within our eRSP system and other relevant platforms. This involves not only inputting information but also ensuring its accuracy and completeness, which is vital for operational efficiency and client satisfaction. You will also play a key role in tracking caregiver attendance and punctuality, identifying any patterns or issues, and escalating them appropriately to management. This oversight helps ensure reliability and accountability within our caregiver network.
  • • Beyond scheduling, you will be a vital link in fostering strong relationships that support caregiver and client retention. By providing excellent customer service through various channels – phone, email, and messaging – you will address inquiries, resolve concerns, and conduct follow-up calls to gauge satisfaction. You will serve as the primary point of contact for all scheduling-related matters, acting as a trusted resource for both our caregiving team and our clients. Your empathetic and patient approach will be essential in navigating the human element of caregiving.
  • • This role also extends to supporting essential administrative and financial processes. You will assist with the collection and verification of timecards, playing a crucial role in the preparation of billing. A thorough review and reconciliation of weekly caregiver hours will be required before invoicing, ensuring accuracy and compliance. Furthermore, you will be responsible for maintaining up-to-date caregiver profiles, ensuring all compliance documents, such as certifications, insurance, and credentials, are current and readily accessible. This meticulous record-keeping is vital for regulatory adherence and operational readiness.
  • • Your contributions will also involve creating and updating various forms, communication materials, and internal documents, contributing to the overall efficiency and professionalism of our agency. You may also provide support for QuickBooks or related financial systems, assisting with data entry and reconciliation as needed. To ensure comprehensive support, you will provide overflow assistance to our customer service and recruiting teams, demonstrating a flexible and team-oriented mindset. Ultimately, your role as a Scheduling Coordinator is multifaceted, requiring a blend of logistical prowess, exceptional communication skills, and a commitment to excellence in a fast-paced, essential service industry.
  • • This position requires a C1 level of English proficiency, the ability to work Monday to Friday from 08:00 AM to 05:00 PM EST, and a dedication to ensuring the highest standards of care and operational efficiency.
