  • • As a Senior Research Administrator for Radiology at Washington University in St. Louis, you will be instrumental in managing the intricate pre-award and post-award phases of research grants and contracts. This pivotal remote role demands a strategic approach to research administration, encompassing comprehensive oversight of personnel, payroll, budgeting, and operational efficiency for large and complex divisions within the department.
  • • Your primary responsibility will be to oversee the department’s research administration functions, proactively identifying areas for enhancement and proposing innovative solutions. You will develop and implement procedures for senior leadership approval, ensuring the smooth and effective operation of research initiatives.
  • • A significant aspect of your role will involve preparing, meticulously monitoring, analyzing, and reporting on research division budgets. This includes ensuring fiscal responsibility and providing clear financial insights to stakeholders.
  • • You will also supervise and train team members in the critical process of submitting grant and contract proposals, ensuring accuracy, compliance, and adherence to all relevant guidelines.
  • • The position may extend to overseeing the submission and post-award activities for research or clinical trial studies, requiring a thorough understanding of study lifecycles and regulatory requirements.
  • • You will supervise the payroll function, ensuring accurate allocation of payroll to appropriate funding sources. This includes designing and implementing a robust tracking system to monitor all payroll activities, ensuring compliance and efficiency.
  • • Furthermore, you will oversee the purchasing function, guaranteeing the maximum and most effective utilization of allocated funds for research projects.
  • • A key duty is preparing and managing the annual salary planning process, working closely with faculty and leadership to ensure competitive and equitable compensation.
  • • You will be responsible for communicating and administering all departmental and university policies and procedures to faculty and staff, ensuring widespread understanding and adherence.
  • • A critical function is monitoring the compliance of faculty and staff with both internal and external policies and procedures, ensuring the appropriate and ethical conduct of research.
  • • You will maintain personnel records and directly oversee the scheduling of employees, the evaluation process, and the resolution of personnel issues, including counseling and, if necessary, discharge procedures.
  • • This role involves reviewing and screening job applications and applicants, conducting interviews, and making hiring recommendations or decisions to build a high-performing team.
  • • You will periodically review all non-academic appointments to ensure that appropriate job descriptions, titles, and salaries are consistently maintained and aligned with institutional standards.
  • • You will recommend and actively participate in the development and implementation of new decisions, policies, and procedures. This includes identifying and implementing best practices and innovations to enhance research administration.
  • • You will implement and maintain procedures designed to ensure an efficient workflow, taking responsibility for the proper training and development of your staff.
  • • Maintaining professional public relations and efficiently handling complaints from various stakeholders will be an important aspect of your role.
  • • You will serve as a key liaison in matters relating to research activities, bridging communication between the Department, School, University, external funding agencies, and collaborative institutions.
  • • Completing special projects as directed by senior leadership will be an integral part of your responsibilities, contributing to broader departmental goals.
  • • You will be expected to organize and attend meetings and conferences, and actively participate in various Departmental and University committees, contributing your expertise and insights.
  • • Maintaining confidential files with the utmost discretion and security is paramount.
  • • This role operates within a standard office environment, typically involving sitting at a desk or table, with repetitive wrist, hand, or finger movements associated with office equipment usage.
  • • The position requires strong analytical thinking, computer literacy, decision-making capabilities, and the ability to exercise independent judgment. Influencing skills, effective interpersonal communication, and methodical problem-solving are essential. You will also need strong oral and written communication skills, self-organization, proficiency in spreadsheets and word processing, and supervisory management expertise.
