- • The Communications & Family Support Coordinator serves as the first point of contact for families and external partners at Anna Autism Care, playing a critical role in building trust and ensuring a welcoming, professional experience from the very first interaction. This role is essential to upholding the organization’s mission of providing neurodiversity-affirming services grounded in dignity, respect, and partnership, directly impacting family engagement and access to vital autism support services.
- • Day-to-day responsibilities include answering all incoming calls to the main phone line with warmth, patience, and genuine care; returning voicemails within one business day; coordinating on-demand interpreter services for non-English-speaking families; conducting basic intake screenings using ANNA’s approved questionnaire to assess prospective client fit; scheduling developmental evaluations in collaboration with the clinical team; maintaining a positive and professional tone in all communications; completing PT1 (MassHealth authorization) forms for state-sponsored transportation requests; providing general administrative support as assigned by the Director of Operations; upholding strict confidentiality in adherence to HIPAA and ANNA privacy policies; and recording all phone, email, and correspondence in the Lumary CRM system immediately after each interaction.
- • The Central Operations team at Anna Autism Care is expanding to support the organization’s growth in delivering high-quality, family-centered services for autistic children. - • In this role, the individual will develop deep expertise in family intake processes, administrative workflows within healthcare and social services environments, and cross-functional coordination with clinical teams. They will strengthen their communication, empathy, and crisis-response skills while gaining hands-on experience with CRM systems like Lumary and potentially Salesforce. Success in this position can lead to greater responsibility in family support, care coordination, or operations management within the growing field of neurodiversity-affirming services.
🎯 Requirements
- • Bachelor’s degree or high school diploma (or equivalent)
- • Minimum of 1 year experience in customer service, administrative support, or a similar role with a US-based company
- • Strong English fluency, both written and verbal, with comfort holding warm, detailed conversations with families who may be distressed or navigating a new diagnosis
- • Proven ability to communicate responsibly and professionally with external partners and internal teams
- • Experience working with Salesforce or other CRMs or referral tracking systems (preferred)
- • Bilingual or multilingual ability in Spanish and/or Portuguese (preferred)
