- • The Specialist, Procurement Operations role at College Board is a critical operational function within the Finance Division’s Operational Excellence (OX) team, serving as the backbone for streamlined, compliant, and efficient purchasing across the organization. This role ensures that purchasing processes, tools, controls, and data are structured to enable a consistent and smooth experience for staff, directly supporting mission-critical work by removing friction from procurement workflows.
- • Day to day, the Specialist manages the corporate purchasing credit card program (50%), including overseeing the Amex cardholder lifecycle—evaluating new card requests, approving applications, training new cardholders, and canceling inactive or departed employee accounts. They reconcile and integrate transactions monthly, process limit increases, support declined transactions, and manage periodic reporting needs to maintain program integrity and compliance.
- • The Specialist resolves purchasing and invoice issues (15%) by managing a dedicated support mailbox to address invoice escalations from Accounting, investigating Workday Financials to trace purchase orders, invoices, and payment details, communicating effectively with staff across Accounting, Sourcing, and other departments to identify solutions, and driving resolutions within established timelines.
- • They provide customer support for staff (15%) by delivering training and support documentation to help employees purchase and process payments successfully, hosting 1:1 and team trainings on key Workday business processes, managing a dedicated support mailbox for staff issues around invoices, requisitions, and POs, and maintaining deep knowledge of organizational purchasing policies to guide staff toward compliant purchasing.
- • The Specialist stewards purchasing data (15%) by updating Buyers and Requestors on POs and requisitions, closing inactive or expired POs within established timelines and criteria, maintaining cost center approval matrices, and proactively identifying opportunities to automate manual tasks to improve efficiency and accuracy.
- • They execute select purchasing tasks (5%), including approving low-dollar, low-risk requisitions (e.g., Staples), reassigning invoices and requisitions across cost centers as needed, and maintaining cost center approval matrices to ensure proper financial controls and accountability.
- • About the team or company: The Operational Excellence (OX) function is a center of excellence within the Finance Division, reporting directly to the Chief Financial Officer (CFO). OX brings expertise in project management, process architecture, cross-functional collaboration, data analytics, and strategic communications, driving enterprise-wide process and systems optimization while leading procurement operations as the operational backbone for purchasing across the College Board. The team operates on pillars of clarity, accuracy, and actionability, committed to advancing organizational excellence to empower every function within Finance to operate at peak performance.
- • What the person can learn or achieve in this role: The Specialist will gain hands-on expertise in purchasing operations at scale within a highly collaborative environment, working closely with Accounting, Strategic Sourcing, and cross-functional teams. They will have the opportunity to explore new technologies, including AI, to streamline processes and build an efficient, well-run purchasing operation, while developing deep proficiency in Workday, financial controls, vendor management, and continuous improvement methodologies—positioning them for growth into senior procurement, finance, or operational excellence roles.
🎯 Requirements
- • 2-4+ years’ experience in highly operational, project management, and internal client services roles
- • Exceptional customer service orientation with strong follow-through and responsiveness
- • Core Excel skills: ability to create and format spreadsheets, work with PivotTables, sort/filter/clean large data sets, and perform basic data validation
- • High attention to detail and near-obsession with accuracy and organization
- • Track record of working successfully in time-bound environments
- • True self-starter: investigates issues thoroughly before asking for help, prioritizes independently, and follows through without requiring follow-up
- • Clear written and spoken communication style
- • Authorization to work in the United States for any employer
- • Willingness to travel 2-3 times per year to College Board offices or on behalf of College Board business
