📋 Description
- • As a Sr. Events and Meetings Planner at Velera, you will be instrumental in shaping and executing impactful internal and external events and meetings, playing a pivotal role in fostering strong relationships with clients, prospects, and industry stakeholders.
- • This highly visible position requires a strategic partner who can seamlessly collaborate with multiple departments across the organization, directly supporting the Manager, Events and Meetings, to ensure the successful delivery of Velera's brand vision and experience objectives.
- • You will be responsible for the comprehensive planning and execution of a diverse range of events, from intimate client advisory sessions to large-scale conferences, accommodating up to 500 attendees.
- • Your duties will encompass all facets of event management, including meticulous coordination with hotels, caterers, technology providers, and transportation services, as well as the planning and execution of engaging off-site activities.
- • A key responsibility will be contributing to the planning and execution of Velera’s Annual Client Conference, whether it takes place in-person, virtually, or in a hybrid format, ensuring an exceptional attendee experience.
- • You will lead the planning and execution of Advisory Group/Co-Creation Council meetings, managing both onsite and virtual vendor partners, coordinating content development, overseeing brand and graphics, and ensuring a superior attendee experience.
- • The role also involves the planning and execution of multiple meetings for the Growth Organization, ensuring alignment with strategic objectives and brand standards.
- • You will leverage your expertise to RFP hotels and vendors, demonstrating strong negotiation skills to secure favorable contracts and manage vendor relationships effectively.
- • Developing and meticulously overseeing budgets for individual events will be crucial, requiring a balance between creative execution and strict fiscal responsibility to maximize ROI.
- • Oversight of tradeshow participation will be a significant aspect of the role, including comprehensive budget management, creative deliverable coordination, and serving as the internal lead for the events team.
- • You will spearhead the planning and execution of Thought Leadership events, such as Velera’s Insight Exchange/Road Shows, which may be conducted in-person, virtually, or in a hybrid model.
- • Leading the planning of tradeshows and events for all Velera brands and associated companies will be a core function, ensuring consistent brand representation and impactful engagement.
- • Acting as a primary liaison with vendors, speakers, and VIPs, you will manage all event-related communications and logistics to ensure smooth operations and positive stakeholder interactions.
- • A continuous drive for innovation in attendee experience will be essential, with a constant focus on identifying and implementing opportunities for continuous improvement across all Velera events.
- • You will forge strong partnerships with all facets of the Marketing team, including Marketing, Marketing Strategy, Communications, Creative, and Web/Digital, to collaboratively create an outstanding and cohesive brand experience for all Velera events.
- • Providing essential virtual meeting support, both internally and externally, will require you to serve as a subject matter expert in the virtual meeting space, ensuring seamless digital engagement.
- • You will be responsible for the overall management and enhancement of the Velera Events and Meeting platform and the associated attendee experience.
- • Performing other duties as assigned will ensure flexibility and comprehensive support for the events team.
