- • Lead the planning, execution, and oversight of global facility expansions, build-outs, and major upgrades across d-Matrix’s offices and labs in Santa Clara, San Jose, Carlsbad (US), Sydney (Australia), Bengaluru (India), and Belgrade (Serbia), acting as the owner’s representative to ensure scope, schedule, budget, and quality standards are met.
- • Coordinate end-to-end relocation logistics for new and expanded sites, including move planning, contractor scheduling, furniture/fixture installation, and integration of IT/AV infrastructure to ensure seamless Day One occupancy with minimal disruption to business operations.
- • Conduct thorough site inspections, system testing, and punch-list resolution to verify compliance with building codes and safety regulations for HVAC, electrical, plumbing, life-safety, and lab-specific systems prior to occupancy certification.
- • Manage external contractors and service providers—including general contractors, architects, engineers, furniture vendors, movers, and maintenance teams—overseeing performance, timelines, contract adherence, and SLA compliance for both construction and ongoing operations.
- • Implement and maintain preventive maintenance programs for all building systems (HVAC, electrical, plumbing, lab utilities) to ensure reliability, safety, and regulatory compliance across all global sites.
- • Support specialized laboratory infrastructure needs such as ventilation/exhaust systems, chemical exhaust, compressed gas lines, temperature controls, and lab-specific utilities, ensuring installations and maintenance align with safety standards without managing lab equipment directly.
- • Serve as the primary site lead for Environmental Health & Safety (EHS), developing and enforcing safety procedures, conducting inspections, coordinating emergency drills (fire, earthquake, chemical spill), and liaising with regulatory agencies to ensure OSHA and local compliance.
- • Hire, train, and supervise facilities personnel including temporary move support staff and full-time technicians, providing mentorship and ensuring adherence to company policies, safety protocols, and service standards across all locations.
- • Manage multi-site facilities operations across six global locations, establishing standardized processes, vendor networks, and workplace standards that scale consistently while accommodating regional requirements.
- • Partner with Finance, Legal, and real estate brokers to support site selection, lease negotiations, renewals, and exits; maintain centralized records of lease agreements, key dates, tenant improvement allowances, insurance certificates, and operating expense reconciliations.
- • Maintain accurate floor plans, seating charts, and space utilization data; collaborate with People Operations and business leaders to forecast space needs based on hiring plans, model occupancy scenarios, and recommend reconfigurations or expansions.
- • Manage the facilities budget for both capital build-out projects and ongoing operational expenses, tracking expenditures on construction, furniture, maintenance contracts, utilities, and vendor services; identify cost-saving opportunities and optimize space efficiency.
- • Utilize facilities management software (CMMS, BMS) to track work orders, building controls, and maintenance logs; ensure accurate documentation and reporting for audits, compliance, and operational efficiency.
- • Physically oversee construction and maintenance activities on-site, including lifting and handling equipment up to 40–50 lbs, and be available for emergency response to facility issues outside standard business hours.
- • Travel up to 10–15% domestically and occasionally internationally to support facility projects, inspections, and operations at global sites.
🎯 Requirements
- • Bachelor’s degree in Facilities Management, Engineering, Construction Management, Business Administration, or related field (or equivalent work experience)
- • 5+ years of facilities management experience, including 2–3 years managing facilities in a laboratory or R&D setting
- • Proven experience leading office/lab build-outs, relocations, or major facility upgrade projects from planning through execution
- • Strong knowledge of building infrastructure systems (HVAC, electrical, mechanical, plumbing) and specialized lab requirements (air handling, chemical exhaust, compressed gases)
- • Knowledge of Environmental Health & Safety standards, OSHA regulations, and building codes for office and lab environments
- • Excellent project management skills with experience managing multiple vendors, contractors, and complex timelines
