- • This is a critical, hands-on role where you will work closely with our Controller to scale Vendelux's finance and accounting operations. You will be instrumental in maintaining the accuracy, efficiency, and scalability of our financial processes as we continue our rapid expansion. Your core responsibilities will span Accounts Payable, Accounts Receivable, billing, expense management, and contributing significantly to our month-end close procedures. - • *Accounting Operations & Month-End Close:**
- • Play a pivotal role in the monthly and year-end close cycles, meticulously preparing and posting journal entries to ensure the accuracy of our financial statements.
- • Conduct thorough bank reconciliations, ensuring all transactions are accounted for and reconciling any discrepancies promptly.
- • Maintain and update supporting schedules for various accounts, providing clear documentation for financial reporting.
- • Uphold the integrity of our general ledger records, ensuring adherence to US Generally Accepted Accounting Principles (GAAP) and providing comprehensive supporting documentation.
- • Assist in the preparation of financial reports and analyses that support strategic decision-making.
- • *Accounts Payable, Expenses & Purchasing:**
- • Own the end-to-end Accounts Payable process, from onboarding new vendors and processing invoices to executing timely and accurate payments.
- • Collaborate closely with Procurement, Finance, and other cross-functional teams to streamline and optimize the procure-to-pay workflow, including vendor setup, purchase request management, purchase order generation, and expense report processing.
- • Oversee the management of corporate credit card transactions, ensuring compliance with company policies, accurate expense categorization, and proper approval workflows within our expense management platform.
- • Facilitate the annual issuance and distribution of 1099 forms to independent contractors, ensuring compliance with tax regulations.
- • Maintain up-to-date vendor records, ensuring all necessary tax documentation, such as W-9s, is collected and securely stored.
- • Serve as a point of contact for vendor inquiries, managing correspondence and contributing to ongoing vendor relationship management.
- • *Billing, Accounts Receivable & Cash Collections:**
- • Support the accurate and timely generation of customer invoices, ensuring all billing information is correct and delivered according to schedule.
- • Manage key Accounts Receivable functions, including proactive collections efforts, reconciling customer accounts, and accurately applying cash receipts.
- • Monitor Accounts Receivable aging reports, identifying and addressing outstanding balances to maintain healthy cash flow.
- • Assist with customer-specific procurement portals and onboarding requirements, ensuring a smooth and compliant billing experience.
- • Support the tracking and reporting of monthly commissions, reconciling billings, cash receipts, and commission payments to ensure accuracy.
- • Contribute to the continuous improvement of our billing and AR processes, identifying opportunities for automation and efficiency gains.
