  • • Serve as the primary point of contact for the Accounts Payable inbox, monitoring, reviewing, and responding to all incoming invoice-related emails promptly and professionally
  • • Accurately enter invoice and payment data into the Transportation Management System (TMS), ensuring all fields are complete and compliant with financial standards
  • • Identify and flag discrepancies such as missing purchase orders, duplicate invoices, incorrect amounts, or mismatched documentation before payments are processed
  • • Maintain and update digital records for Notice of Assignment and Letter of Release documents within the TMS, ensuring proper filing and accessibility
  • • Partner with the finance team to resolve invoice issues efficiently, providing clear written communication to internal stakeholders and external vendors
  • • Learn and utilize the Ascend platform to support end-to-end AP workflows, with full training provided to ensure proficiency
  • • Manage daily administrative tasks including organizing digital documentation, maintaining consistent file naming conventions, and ensuring all supporting materials are properly attached and stored
  • • Prioritize and manage multiple incoming invoices and requests while meeting daily deadlines and maintaining 100% accuracy in data entry
  • • Communicate clearly and concisely via email to request missing information, confirm payment details, or escalate unresolved issues
  • • Follow strict security protocols including use of MFA, restricted system access, and secure file sharing practices for all financial documentation
  • • Support the broader finance team with ad-hoc administrative duties as needed, including document verification, report preparation, and data reconciliation
  • • Maintain consistent workflow discipline by adhering to daily inbox hygiene standards, ensuring no item remains unaddressed beyond assigned timelines
  • • Work exclusively during U.S. business hours, requiring night shift availability based in the Philippines
  • • Demonstrate ownership of your assigned invoice queue by tracking each item from receipt to resolution, not just completing isolated tasks
  • • Uphold a culture of precision by consistently catching small errors — typos, misaligned line items, expired documents — before they impact payments or compliance

🎯 Requirements

  • • High school diploma or equivalent required
  • • Proficiency in Microsoft Outlook and Excel
  • • Strong attention to detail and accuracy in data entry
  • • Clear and professional written communication skills in English
  • • Ability to work full-time during U.S. business hours (night shift in Philippines)
  • • Full-time exclusivity — no other part-time or freelance engagements permitted
