- • Serve as the primary point of contact for U.S. payroll operations, ensuring accurate and timely processing of payroll for U.S.-based employees in alignment with federal, state, and local regulations.
- • Manage all aspects of U.S. payroll cycles including bi-weekly and semi-monthly payrolls, overtime calculations, deductions, tax withholdings, and direct deposits.
- • Collaborate with HR and finance teams to reconcile payroll data, resolve discrepancies, and ensure compliance with IRS, DOL, and state labor laws.
- • Process and validate employee payroll changes including new hires, terminations, salary adjustments, benefit deductions, and garnishments.
- • Maintain accurate and secure payroll records in compliance with retention policies and audit requirements.
- • Liaise with third-party payroll providers and tax agencies to resolve issues, file required reports, and ensure timely submission of federal and state tax filings.
- • Prepare and analyze payroll reports for internal stakeholders, including labor cost summaries, tax liability forecasts, and year-end W-2 preparation.
- • Support employee inquiries related to pay stubs, tax forms, direct deposit changes, and payroll-related benefits.
- • Stay current on evolving payroll legislation, tax codes, and compliance standards affecting U.S. payroll operations.
- • Participate in system upgrades and process improvements for payroll platforms, ensuring seamless integration with HRIS and timekeeping systems.
- • Assist in the implementation of automation and AI-driven tools to enhance payroll accuracy, reduce manual effort, and improve reporting efficiency.
- • Ensure adherence to company policies and data privacy standards when handling sensitive employee financial information.
- • Coordinate with Canadian payroll teams to align cross-border employment practices where applicable, while maintaining strict separation of U.S. and Canadian payroll jurisdictions.
- • Contribute to annual audits by providing documentation, supporting external auditors, and addressing compliance findings.
- • Train and mentor junior payroll staff on U.S. payroll procedures, system usage, and regulatory updates.
- • Participate in scheduled in-office events at the Mississauga office as required by the hybrid work model, including onboarding, team meetings, and semi-annual or annual gatherings.
🎯 Requirements
- • Proven experience managing U.S. payroll operations in a multi-state environment
- • In-depth knowledge of U.S. federal and state payroll tax laws, wage and hour regulations, and compliance requirements
- • Proficiency with payroll software systems and HRIS platforms
- • Strong attention to detail and accuracy in high-volume payroll processing
- • Ability to maintain confidentiality and handle sensitive employee data
- • Experience working in a hybrid work model with required in-office attendance
