- • As an Operations and Logistics Administrator for Ingenovis Health's USN division, you will play a pivotal role in ensuring the seamless execution of our operational processes and the efficient management of logistics for our healthcare professionals. This remote position offers a unique opportunity to contribute to a dynamic and growing organization, supporting critical functions that directly impact our ability to deliver exceptional care.
- • Your primary responsibility will involve the meticulous maintenance and tracking of up-to-date Standard Operating Procedures (SOPs) across all departments. This requires a keen eye for detail and a commitment to accuracy, ensuring that our internal processes are documented, accessible, and consistently followed to uphold the highest standards of quality and efficiency.
- • You will be expected to travel up to 30% of the time to support job actions and other essential operational needs. This travel component is crucial for on-the-ground support, problem-solving, and fostering strong relationships with healthcare professionals and hospital executives.
- • A significant aspect of your role will be to effectively communicate and deliver presentations to a diverse audience, including internal leadership, healthcare professionals, and hospital executives. This requires strong public speaking and presentation skills, as well as the ability to tailor your message to resonate with different stakeholders.
- • You must possess and demonstrate a high level of interpersonal skills, enabling you to navigate sensitive and confidential situations with tact, discretion, and diplomacy. Handling company information with extreme care and protecting trade secrets will be paramount.
- • Your responsibilities will extend to the critical task of reviewing, auditing, updating, and creating new opportunities, rate cards, and jobs within our core systems, specifically Bullhorn and the Quickbase Order Grid application. This involves data management and ensuring the integrity of our operational databases.
- • You will actively assist in the creation and updating of client presentations, contributing to our external communications and client relationship management efforts.
- • Participating in client calls will be a regular duty, where you will be responsible for capturing detailed notes, identifying client needs, and effectively communicating proposed solutions.
- • Close collaboration with the logistics team is essential for managing, updating, and analyzing hotel Requests for Proposals (RFPs) and reported availability. This ensures that our traveling professionals have suitable accommodations.
- • You will provide accurate and detailed directions regarding housing arrangements to all candidates and USN staff, ensuring a smooth and stress-free experience for those on assignment.
- • Responding to call center tickets will be a key part of your role, requiring you to efficiently reach resolutions for operations, housing, and transportation needs. This demands strong problem-solving abilities and a customer-centric approach.
- • The role necessitates ongoing coordination, communication, and collaborative problem-solving between various departments and functional areas to ensure optimal work production and service quality.
- • You will be tasked with creating, managing, and tracking surveys for both internal and external feedback, providing valuable insights for continuous improvement.
- • Finally, you will perform additional duties as requested by management, demonstrating flexibility and a willingness to contribute wherever needed to support the overall success of the USN operations.
