  • • As a vital member of our growing team, the Workplace Experience Coordinator will play a crucial role in supporting the HR & Operations Manager.   • • Your responsibilities will encompass a broad spectrum of critical functions designed to support our team and enhance our workplace environment. You will be entrusted with maintaining the integrity and accuracy of all employee records, meticulously organizing internal HR documentation to ensure easy accessibility and compliance. Furthermore, you will provide essential support to the HR Manager in the formulation of policies, the preparation and formatting of internal communications, the creation of comprehensive reports, and the development of Standard Operating Procedures (SOPs) as required. Upholding the highest standards of confidentiality regarding all personnel and sensitive company information will be paramount in this role.
  • • You will also undertake various administrative duties essential for fulfilling compliance tasks, ensuring that Willow Health adheres to all relevant regulations and best practices. Acting as a key liaison between the HR Manager and employees, you will be responsible for addressing inquiries, providing prompt and accurate responses, and fostering open lines of communication. A significant part of your role will involve assisting with the onboarding process, meticulously coordinating each step to guarantee a seamless and welcoming experience for all new hires, setting them up for success from day one.
  • • Beyond administrative and compliance functions, you will be instrumental in shaping our employee experience. This includes helping to plan and coordinate a variety of internal events, ranging from engaging virtual social gatherings and milestone celebrations to motivating wellness challenges and festive holiday activities. Your efforts will directly contribute to building a strong sense of community and belonging within our remote-first organization. You will also support the creation and distribution of internal newsletters, employee spotlights, and important company updates, ensuring that our team remains informed and connected.
  • • To further enhance employee satisfaction and gather valuable feedback, you will assist in conducting employee engagement surveys and compiling insightful data for leadership review. Supporting ongoing employee recognition programs, such as facilitating shout-outs and acknowledging work anniversaries, will also be a key aspect of your contribution, reinforcing our appreciation for our team's hard work and dedication.
  • • In addition to your core HR and engagement responsibilities, you will provide crucial support for cross-functional projects. This will involve organizing project-related documents, diligently tracking tasks, and proactively scheduling check-ins to ensure projects remain on track and objectives are met. To inform strategic decision-making, you will conduct research to support HR and Operations-related initiatives, exploring potential tools, evaluating vendors, and benchmarking policies against industry standards. Your collaborative spirit will be essential as you work closely with departments such as IT, Design, and Finance to ensure project alignment and successful completion, contributing to the overall efficiency and effectiveness of Willow Health.

  • • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace (Docs, Sheets, Slides, Gmail).
